Share and invite guests

There are two ways to put work in front of someone outside your studio. A share link lets anyone look, with no account. An invitation brings them into Cauldron as a guest so they can approve, request changes, and comment. Both start from the same Share dialog.

Open a project and click Share, or open a collection’s ⋯ menu in the Library and choose Share…. Click Create link, then Copy link.

Anyone with the link can open it without signing in. It covers the project or collection and everything nested inside it. The link is view-only: nobody can comment, approve, or change anything through it.

By default the page shows everything that has been sent for review, each item labeled with its status — in review, approved, or changes requested. Anyone with the link can filter by status, and work is grouped by sub-collection.

Drafts never show. If the page looks thin, use Send drafts for review in the Share dialog to move drafts into review.

Only approved files can be downloaded. Items still in review are there to look at, not to take away.

Turn on Approved only in the Share dialog when you’re delivering rather than reviewing. The same link then shows only approved items, with no status labels, a download on every item, and Download all at the top. The page grows as more work is approved.

Switch it off again at any time. The link itself doesn’t change.

  • Reset link makes a new address and kills the old one at once. The new link keeps the same Approved only setting.
  • Turn off removes the link. Your assets and their review status are untouched.

Archiving a project turns its link off, and unarchiving turns the same link back on. See Archiving a project.

A link is for looking. For sign-off inside Cauldron, invite them from the Share dialog of a brand’s project or collection: enter their email and choose Approver or Viewer.

  • Approvers approve work or request changes, and can comment.
  • Viewers look and comment.
  • Guests never generate, and they’re free — they don’t use a seat.

A guest joins the whole brand, not a single project: they can see every project on that brand, and nothing on your other brands. Invited from a project, they land on that project with the items waiting for them first, and can approve or request changes on several at once.

Studio projects have no brand, so there’s nobody to invite — their approvers are your studio’s Owners and Admins. You can still send a share link. To have a guest approve, start the project on their brand.
